External Project Sharing

How to invite a client or stakeholder outside your organization to view one project's live results in SitePulse, with their own read-only login.

External Project Sharing gives someone outside your organization — a client, a stakeholder, a contractor — their own login to SitePulse, scoped to exactly one project. Unlike a Share Link, which is a single static view of one audit, an external viewer gets a real account: they sign in, see the project's live results update as new audits complete, and can browse its audit history — all without ever seeing your organization's other projects, billing, or team.

External sharing vs. Share Links

Use External Project Sharing when someone needs ongoing, logged-in access to one project's results over time. Use a Share Link when you just need to send a one-off, no-login-required view of a single audit.

Who can invite an external viewer

Only organization Owners and Admins can send external invites. See Roles & Permissions for the full role breakdown.

Inviting someone

  1. Open the project you want to share, and go to its Settings tab.
  2. Find the External Sharing panel and enter the person's email address.
  3. Click Send Invite.

They'll receive an email with a secure invite link. If email delivery fails for any reason, the panel shows a Copy link option so you can send it yourself through Slack, a message, or whatever channel you prefer.

An invite expires after 7 days if it's never accepted. You can see all pending invites in the same panel, and resend or copy the link again at any time before it expires.

What the external viewer sees

Once they accept the invite (or sign in, if they already have a SitePulse account), they land in a dedicated, clearly-labeled read-only view — every page shows an External Viewer badge so there's never any confusion about what mode they're in. From there they can:

  • View the project's overview and current scores
  • Browse the project's audit history and open any individual audit's results
  • Download PDF, HTML, or Markdown reports for any completed audit

They will never see:

  • Any other project in your organization
  • Billing, team members, or organization settings
  • Edit controls — rewrite suggestions, CMS patches, delete buttons, or anything that changes data

If the same person is later invited to a project in a different organization, they don't need a second account — one login can hold access to multiple externally-shared projects across different teams, each fully isolated from the others.

Revoking access

In the same project's Settings → External Sharing panel, find the person under Active viewers and click Revoke. Access is removed immediately — their next request to view anything in the project returns "not found," exactly as if they'd never had access.

Revoking doesn't delete their account or affect any other project they may have access to; it only removes this one grant.

Seeing who's been invited across every project

If you manage sharing across several projects, you don't have to check each project individually. Go to Settings → Sharing to see a single, organization-wide list of everyone currently holding external access to any of your projects — who they are, which project, and when they were granted access. Click through from there to any project's own Settings tab to manage or revoke that specific grant.

Access log

Every project's Settings → External Sharing panel also includes an Access log — a timestamped record of when the external viewer opened the project overview, viewed an audit, or downloaded a report. This gives project owners visibility into how (and how often) the person they've shared with is actually using their access.

Best for ongoing client relationships

If you're reporting to the same client every month, External Project Sharing is a better fit than repeatedly generating new Share Links — the client gets one stable login, and the results they see are always current instead of a point-in-time snapshot.
